Partnership Guidelines
How Early to CXC enters, governs and ends collaborations — and the principles that apply when money is involved.
Purpose
Early to CXC welcomes strategic partnerships that support our mission of improving educational outcomes and providing high-quality learning opportunities to students, educators, parents and communities.
This policy establishes the principles, requirements and expectations governing collaborations between Early to CXC and external organizations, institutions, businesses, government agencies, non-profit organizations, community groups and individuals.
Partnership Principles
All partnerships entered into by Early to CXC shall be guided by the following principles.
Mission Alignment
Partnerships must support and advance Early to CXC's mission, vision and strategic objectives. Collaborations should contribute positively to educational development, student achievement, teacher effectiveness, community engagement or organizational growth.
Mutual Benefit
Partnerships should create meaningful value for all parties involved. Each partner should have a clear understanding of the intended outcomes, responsibilities and benefits arising from the collaboration.
Integrity and Ethical Conduct
Partners are expected to conduct their operations honestly, lawfully and ethically. Early to CXC will seek relationships with organizations that demonstrate high standards of integrity, transparency, accountability and professionalism.
Student-Centred Impact
Where applicable, partnership activities should prioritize the educational interests, wellbeing and development of students. Decisions should be informed by the potential impact on learners and educational communities.
Equity, Diversity and Inclusion
Partnerships should promote equitable access to opportunities and respect the diversity of learners, educators and communities. Early to CXC will not knowingly partner with organizations that engage in discriminatory practices.
Transparency
Partnership objectives, expectations, contributions and obligations should be clearly communicated and documented. Partners are expected to disclose any potential conflicts of interest that may affect the relationship.
Respect for Independence
Partnerships shall not compromise the independence, governance or decision-making authority of Early to CXC. Unless explicitly agreed in writing, no partnership shall be construed as an endorsement of a partner's products, services, views or activities.
Safeguarding and Privacy
Partners must uphold applicable child protection, data privacy and confidentiality standards. Appropriate safeguards must be in place whenever partnership activities involve students, educators or sensitive information.
Sustainability
Early to CXC will prioritize partnerships that demonstrate long-term value, measurable outcomes, responsible resource utilization and the potential for sustainable impact within the education sector.
Reputation Protection
Partnership opportunities will be assessed for potential legal, financial, ethical and reputational risks. Early to CXC reserves the right to decline, suspend or terminate partnerships that may adversely affect its reputation or stakeholders.
Financial Arrangements
Where a partnership is accompanied by monetary or financial arrangements, the principles set out below — indicative but not exhaustive — shall be used to guide and secure the interests of Early to CXC firstly, and those of the additional entity or entities secondly.
General Principle
Financial arrangements associated with any partnership shall be fair, transparent, properly documented and aligned with the objectives of the partnership.
Written Agreements
Any partnership involving financial contributions, sponsorships, grants, donations, revenue-sharing arrangements, discounts, scholarships or in-kind support must be governed by a written agreement approved by authorized representatives of the parties involved.
Sponsorships and Donations
Early to CXC may accept sponsorships, grants, donations and other forms of support from organizations whose activities align with the organization's mission and values. Acceptance of such support does not imply endorsement of the donor's products, services or viewpoints unless specifically stated in writing.
Revenue-Sharing Arrangements
Where a partnership involves the sharing of revenues generated through joint programs, events, products or services, the parties shall agree in writing on:
- Revenue allocation methodologies
- Payment schedules
- Cost-sharing responsibilities
- Reporting requirements
- Audit and verification procedures where appropriate
Scholarships and Student Support
Financial support intended for scholarships, bursaries, awards or student assistance programs shall be administered according to transparent eligibility criteria and established program guidelines.
In-Kind Contributions
Contributions of goods, services, facilities, technology, expertise or volunteer resources may be recognized as part of a partnership. The nature and estimated value of such contributions should be documented where appropriate.
Financial Accountability
Partners are expected to maintain accurate records relating to partnership-funded activities and shall provide reasonable evidence of expenditures or outcomes when required by agreement.
No Undue Influence
Financial support shall not provide a partner with undue influence over academic content, educational decisions, admissions processes, assessment outcomes, governance matters or strategic priorities of Early to CXC.
Compliance with Laws and Regulations
All financial transactions conducted under partnership agreements must comply with applicable laws, regulations, tax requirements and accounting standards.
Termination and Outstanding Obligations
In the event a partnership is terminated, the parties shall fulfill any outstanding financial obligations that accrued prior to termination unless otherwise agreed in writing. The partnership agreement should specify procedures for the settlement of funds, assets or resources upon termination.
